Privacy Policy
WebbySalesPro (“WebbySalesPro,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It also details how we handle Google User Data when you use Google Sign-In or optionally connect Gmail/Google Workspace to send emails.
We follow the principle of data minimization: we request and process the least amount of data necessary to deliver secure, reliable webinar experiences and related features (offers, chat, analytics, and email notifications).
1) Information We Collect
A. Account & Profile Information
- Name, email address, password (if not using SSO), organization name, role, and profile details you provide.
- If you sign in with Google (OAuth), we may receive your Google Account email and basic profile (name, profile image) to create or update your account.
B. Google User Data (When You Use Google Sign-In or Connect Gmail)
If you choose Google Sign-In and/or connect Gmail/Google Workspace, we may request:
- …/auth/userinfo.email: your primary Google email to identify your account and send important account notices.
- …/auth/userinfo.profile: your public profile information (e.g., name, profile picture) to personalize your account.
- openid: associates your identity for authentication.
- gmail.send (optional, only if you explicitly connect Gmail): used solely to send emails from your connected account (e.g., invitations or outreach you configure).
We do not store or read the content of those emails. We may store a count of emails sent to help enforce sensible limits (e.g., 50/day) that protect deliverability.
You can use WebbySalesPro without connecting Gmail. Connecting is entirely optional.
C. Payment & Billing
- If you subscribe, our payment processor (e.g., Stripe) collects and processes payment information. We receive limited billing details (e.g., last 4 digits of card, card brand, billing name) and subscription status.
D. Usage, Events & Analytics
- Technical data (browser, device, IP), and in-app events related to webinars (e.g., join/leave times, chat interactions, offer clicks, latency metrics) to provide live analytics and improve reliability.
- We may use cookies or similar technologies for session management, security, and to remember preferences. See your browser settings to control cookies.
E. Support Communications
- Messages you send to support or feedback you provide.
2) How We Use Information
We use your information to:
- Create and secure your account, authenticate you, and provide access to features.
- Power webinar functionality: IVS video/chat, presenters/attendees management, tokens/links, offers, live analytics, email notifications, and replays where configured.
- Send service and transactional emails (e.g., confirmations, invites, receipts, incident notices).
- Monitor, prevent, and detect fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms.
Google User Data is used only to:
- Authenticate your account (Google Sign-In).
- Send emails via your Gmail/Google Workspace when you explicitly connect and approve gmail.send.
We do not store or inspect the email contents you send via your Gmail integration.
3) Compliance with Google’s Limited Use Policy
When we handle Google User Data, we comply with Google’s API Services User Data Policy, including the Limited Use requirements:
- Data Use Limitation: Google User Data is used exclusively to provide or improve user-facing features that are prominent in the app (e.g., Sign-In, sending your configured emails).
- No Ads/Retargeting: We do not use Google User Data for serving ads, retargeting, or personalized advertising.
- No Generalized ML: We do not use Google Workspace API-derived data to develop, improve, or train generalized AI/ML models.
- Security: We apply rigorous protections for data in transit and at rest.
4) Data Sharing & Transfers
We do not sell, rent, or trade your personal data or Google User Data.
We may share limited data with:
- Service Providers / Sub-processors that help operate WebbySalesPro (e.g., hosting with AWS, video/chat via Amazon IVS, email delivery provider, error monitoring, payment processing). These providers are bound by confidentiality and data protection obligations and only process data per our instructions.
- Security, Abuse, or Legal Compliance: To investigate or respond to security incidents, suspected abuse, or valid legal requests (e.g., subpoena, court order).
- Business Transactions (with explicit consent for Google User Data): If we undergo a merger, acquisition, or asset transfer, we may transfer data to the acquirer. We will seek your explicit consent before transferring Google User Data.
Except as permitted above, all other transfers or uses of Google User Data are prohibited.
5) Human Access to Google User Data
By default, human employees do not access your Google User Data (including the contents of emails sent via Gmail). We implement technical and organizational safeguards to prevent unauthorized access.
In very limited cases, and only with proper authorization and logging, select personnel may access limited metadata (not email content) to:
- Respond to a verified security incident,
- Comply with a valid legal request, or
- Diagnose a critical system issue that cannot be resolved otherwise.
All such access is audited. Violations of this policy may result in disciplinary action up to termination.
6) Data Retention
- Account data is retained while your account is active.
- OAuth tokens (for Google Sign-In and optional Gmail send) are retained only as long as necessary to provide the feature or until you revoke access in your Google Account settings or you request account deletion.
- Webinar analytics and operational logs are retained for a period consistent with system reliability, compliance, and business needs, then deleted or anonymized.
- Upon account deletion (and after verification steps to prevent unauthorized deletion), we delete or anonymize personal data unless we must retain it for legal obligations, dispute resolution, or security.
7) Your Choices & Rights
- Google Access & Revocation: You can revoke WebbySalesPro’s access at any time via your Google Account security settings. Revoking disables the Gmail integration and/or Google Sign-In for your account.
- Email Preferences: You can opt out of non-essential emails; transactional and security notices will still be sent.
- Access/Correction/Deletion: You may request access to, correction of, or deletion of your personal data, subject to applicable law and our need to maintain certain records (e.g., for fraud prevention or legal obligations).
If you are in a region with specific privacy laws (e.g., GDPR/UK GDPR, CCPA/CPRA, Virginia, Colorado), you may have additional rights. Contact us to exercise these rights.
8) Data Security
We implement technical and organizational measures to protect your information, including:
- Encryption in transit (TLS) and at rest.
- Access controls based on least privilege and need-to-know.
- Secure development and operational practices, ongoing monitoring, and periodic audits.
- Ongoing efforts to achieve or maintain industry standards (e.g., SOC 2 readiness).
No security controls are perfect, but we strive to protect your data and promptly address incidents.
9) International Transfers
We may process and store data in the United States and other countries where we or our service providers operate. When transferring personal data internationally, we use appropriate safeguards (e.g., Standard Contractual Clauses) where required by law.
10) Children’s Privacy
WebbySalesPro is not directed to children under 13, and we do not knowingly collect personal data from children under 13. If you believe a child has provided data, please contact us and we will delete it.
11) Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated (e.g., in-app notice or email). Your continued use of WebbySalesPro after changes take effect constitutes acceptance of the updated policy.

Appendix: Google OAuth Consent, Scopes & Visibility
- Sign-In with Google: When you choose Google Sign-In, you’ll be redirected to Google’s consent screen to review and approve scopes (openid, …/auth/userinfo.email, …/auth/userinfo.profile).
- Optional Gmail Integration: If you choose to connect Gmail/Google Workspace to send emails from your own inbox through WebbySalesPro’s interface, you’ll explicitly approve the gmail.send scope. WebbySalesPro will only send the messages you configure; we do not store or read the email contents, and administrators cannot view them.
- Revocation: You can revoke access at any time in your Google Account settings. Revocation disables the related features in WebbySalesPro.
